How Much Does a Bookkeeper Cost? An Honest Breakdown
By Marie E. · Published September 2, 2026
It's the first question most owners ask — and the honest answer is "it depends." Here's what it depends on, how pricing usually works, and how to think about the cost against the alternative.
How bookkeepers typically charge
Hourly. Common for one-time cleanups and catch-up work. You pay for the time the mess takes — which is why hourly quotes for cleanup always come with "it depends on what we find."
Flat monthly. The most common model for ongoing bookkeeping. A fixed monthly fee covers a defined scope: reconciliation, categorization, and reports. Predictable for you and for the bookkeeper.
Per-project. Used for a defined piece of work like a system setup, with a clear start, finish, and deliverable.
What actually moves the price
- Transaction volume. Fifty transactions a month is a very different workload from five hundred.
- Number of accounts. Each bank account, credit card, and loan adds reconciliation time every month.
- Complexity. Payroll, inventory, sales tax across states, or multiple revenue streams all add work.
- How behind you are. Current books cost less to maintain than two years of backlog cost to rebuild.
- How you work. Organized receipts and prompt answers keep hours — and cost — down.
The real comparison
The question usually isn't "what does a bookkeeper cost?" — it's "what does it cost me to do this myself, or to not do it at all?" Owners routinely spend several hours a month on their own books, and disorganized records cost more at tax time, hide cash flow problems, and slow down every financial decision. Clean monthly books are usually the cheaper option once you price your own time.
How to get a real number
Any trustworthy bookkeeper will want to understand your situation before quoting: your monthly transaction volume, the accounts involved, your software (if any), and how current your books are. That's exactly what a bookkeeping review is for — you describe your situation, and you get a recommendation and a price based on your actual numbers, not a generic rate card.
